HubSpot expert help, on demand.
Already running HubSpot but stuck on something specific? A workflow that won't build right, a custom report that's eluding the team, an integration that needs configuring, a training session for a new hire. Point-based optimization gets you senior HubSpot help without committing to a full retainer.
Pre-paid bundles of hours, typically 10 hours at a time. Request help when you need it. Hours come out of the bundle. Top up when it's empty. No monthly minimum, no retainer commitment.
HubSpot Platinum Partner with 25+ implementations behind us. We work with HubSpot setups we built and ones we didn't. The optimization service is open to any team running HubSpot.
When your HubSpot stops working as well as it used to
Even well-set-up CRMs drift. Four patterns we see most often.
Workflows you set up six months ago are quietly broken. A change in your sales process broke an automation; nobody noticed; leads sit in stages they shouldn't, deals stall without alerts.
Without monthly data hygiene, contact properties decay. Reports start showing patterns that aren't real, decisions get made on bad data.
HubSpot ships new features every quarter. Without someone watching, you miss the ones that would save your team hours.
The team that originally got trained on HubSpot has half-rotated out. The new hires use 30% of the system. Adoption falls.
If any of these sound familiar, optimization will help
Most teams that buy a point-based bundle have one of these patterns. All fixable with a few hours of senior HubSpot help.
Your team uses contacts, companies, and deals. They don't use sequences, playbooks, custom reports, or association labels. The Hubs you're paying for sit idle.
Duplicate contacts, contacts with the wrong lifecycle stage, deals stuck in stages that don't match reality, properties that haven't been cleaned in months.

One call. We'll look at your HubSpot setup and tell you whether you need 5 hours, 20 hours, or a different service entirely.
What you can use the hours for
Account health check
Health check audits. We review your HubSpot setup end-to-end, find what's broken, flag what's underutilized, and hand back a prioritized fix list. Typically 4 to 8 hours of the bundle.
Data cleanup
Duplicate contact merges, lifecycle stage cleanup, deal stage audits, property hygiene. The unsexy work that makes reports trustworthy again. Typically 2 to 6 hours.
Workflow builds and fixes
Building or fixing specific workflows on demand: lead routing, internal handoffs, sequence enrollment, deal stage triggers. Typically 2 to 5 hours per workflow.
Training sessions
Custom training sessions for new hires, role-specific deep dives, or rollout of a new HubSpot feature. Live workshops or recorded walkthroughs. Typically 2 to 4 hours per session.
Custom reports and dashboards
Building custom reports and dashboards around the questions your team actually asks. Or fixing reports that no longer match how the business operates. Typically 2 to 4 hours.

How it works
Two simple options. Most clients start with point-based and only move to a retainer once they realise they need help every month.
Point-based bundles (default)
Pre-paid bundles of hours, typically 10-hour blocks. Request help when you need it: a workflow tweak, a new report, a contact cleanup, a training session. Hours come out of the bundle. You top up when it's empty. No monthly minimum, no retainer commitment.
Switch to a retainer if it makes sense
If you find yourself topping up the bundle every month, we'll suggest moving to our CRM Management retainer instead. Predictable monthly engagement covering optimization sprints, data hygiene, automation tuning, training, and reporting.
HubSpot Platinum Partner. 25+ implementations behind us. The same senior team you'd get on a retainer is the senior team that works your bundled hours. No handoff, no junior takeover.

Frequently asked questions
Who is the optimization service for?
Teams already running HubSpot who want senior expert help on demand, without committing to a full monthly retainer. You might have set HubSpot up yourselves, or with another partner. Either way, this service is open to any team running HubSpot, whether or not we did the original implementation.
How does the point-based bundle work?
You buy a bundle of hours (typically 10 hours, but we can size up or down). Send us requests as they come up: "build this workflow", "fix this report", "train our new sales rep", "clean up duplicate contacts". We log time against the bundle and send a summary at the end of each month. When the bundle runs low, we let you know and you choose whether to top up.
What can I use the hours for?
Anything HubSpot related. Most common requests: building or fixing workflows, custom reports and dashboards, data cleanup, integration setup, training sessions, account audits, lead scoring builds, sequence creation, property and pipeline tuning, troubleshooting weird behavior. If you're not sure whether something fits, ask. We'll tell you straight.
How is this different from HubSpot's direct support?
HubSpot's support answers product questions and breaks/fixes. We do the work. They'll tell you how to build a workflow; we'll build the workflow. They'll explain a feature; we'll roll it out across your team. Senior HubSpot consultants who've shipped 25+ implementations, available when you need them.
What size of bundle do most clients start with?
10 hours is the standard starting bundle. Some teams burn through it in 2 weeks; others stretch it across 2 months. After the first bundle we have a clearer sense of your usage and can recommend the right size going forward. For larger setups (especially after acquisitions or rapid team growth), we sometimes recommend 25 or 50-hour bundles to start.
